For more information, go to the article about [exported data between Business Central and Payhawk](/help/overview-of-shared-data-with-ms-business-central). ## Initial interaction between Payhawk and MS Business Central MS Business Central does not have an **Update** button for extensions. Therefore, to update the Payhawk's extension to its last version, if available, you will need to: 1. In MS Business Central, go to **Extension Management**. 2. Uninstall and, then, re-install the Payhawk extension. ## Prerequisites Before you connect Payhawk to MS Business Central, make sure the following requirements are met: - You have set the **No. Series** and **Bank Acc. Posting Group** fields in MS Business Central. Otherwise, while you will be able to finish the current setup, the data between the two systems will not be synced. - You have installed the Payhawk extension from the [Microsoft marketplace](https://appsource.microsoft.com/en-us/product/dynamics-365-business-central/PUBID.payhawk1674380496828%7CAID.payhawk_bc_integration%7CPAPPID.58ff7f34-eadb-4309-830f-d4502f75a417?exp=ubp8). For additional support, follow [the official Microsoft guide](https://learn.microsoft.com/en-us/dynamics365/business-central/ui-extensions-install-uninstall). - To allow the connection, an Azure Active Directory Administrator has to approve the connection between Payhawk and Azure after receiving an application request in their inbox. This is a one-time setup that allows the systems to communicate. ## Note on installing the Payhawk extension To be able to install the Payhawk extension, you need to have an account with rights to install third-party extensions to the MS Business Central environment (**Permission - “EXTEN. MGT. - ADMIN (System)“**). The ERP administrator or account holder has to install the Payhawk extension from the MS Business Central AppSource. The extension will then add a new permission set (**“PHK PAYHAWK ACCESS (System)“**) to the list of permission sets in the ERP environment. This new permission set has to be added to the account that will be used to connect the Payhawk and MS Business Central systems. This account must also have an Essentials or Premium license in MS Business Central. ## Connecting to MS Business Central Once you have completed the prerequisite steps, you can start connecting to MS Business Central in the following way: 1. In the [Payhawk Web Portal](https://portal.payhawk.com), go to **Settings** *>* **Integrations**. 2. Under **Available integrations**, find **MS Dynamics Business Central** and click on **Connect**. 3. In the **Bank account mapping** field, provide a bank account that will be mapped to each Payhawk account. 2. In the **Bank accounts reconciliation** field, specify whether your preferred reconciliation is daily, weekly, or monthly. 3. In the **Payments configuration** field, choose which is the general ledger account in which you want to have POS and FX fees booked. 4. In the **Payhawk specific accounts** field, choose an account used for posting deposits that matches a direct posting account in MS Business Central, and is also used when Payhawk expense category cannot be matched to a MS Business Central account. 5. Click on **Continue** to start synching the information. ![Map accounts step of the MS Business Central connection with the bank accounts mapping, reconciliation, payments and Payhawk specific accounts.](https://cdn.payhawk.com/Adm%3AIntegrations%3AMSBC/Connecting_Payhawk_to_MS_Business_Central_4_20261016_ai.png) ### Expense export On the **Data mapping** step, you can select the type of transaction that Payhawk exports to Business Central for each expense category under **Accounts payable**: - For expenses paid to suppliers by bank transfer or card, open the **Export as** drop-down and choose **Journal Entries** or **Purchase Invoices**. - For reimbursable expenses, use the same **Export as** drop-down. When you export them as purchase invoices, Payhawk exports the employee as the purchase invoice's vendor in Business Central. - For receipts (expenses with the document type set to **Receipt**), set the **Export as general journal entries?** drop-down to **Yes** or **No**. When you select **No**, Payhawk exports receipts following the configuration rules set per spend type. When you export receipts as general journal entries, you also select the **general journal batch** to use. To change these settings later, go to **Settings** > **Integrations**, click on the three dots menu of the ERP system, and select **Edit configuration**. For more detail, see the article on [exporting receipts as journal entries in MS Business Central](/help/exporting-receipts-as-journal-entries-in-ms-business-central). ## Notes on configuration - The integration setup from the last time Payhawk and your accounting system were connected will be automatically re-applied the next time you connect. - You can edit the current integration setup without disconnecting from your accounting system. In Payhawk, go to **Settings** > **Integrations**, click on the three dots menu of the desired ERP system, and select **Edit configuration**. ## Next steps - [Mapping the Payhawk categories to your MS Business Central chart of accounts](/help/mapping-payhawk-categories-to-the-ms-business-central-chart-of-accounts)
