This article answers some of the most frequently asked questions (FAQs) about the Payhawk-Xero integration.
Will the name of the cardholder be exported to Xero when an expense has split items?
Yes. When card expenses are exported to Xero, the integration supports including the cardholder’s name on each line item even when the expense has split items.
Why do expenses sometimes not export to Xero immediately after being reviewed? What is the average time for export?
Exporting to Xero usually happens very quickly after an expense is reviewed. However, the exact timing depends on the number of expenses being exported and Xero’s API limits. Xero enforces daily and hourly rate limits, so if these limits are reached, the expenses are placed in a queue and exported as soon as possible once capacity becomes available.
All reviewed expenses will eventually be exported to Xero. If an export fails, the expense will move back to the Review tab, ensuring that no expense remains stuck or unexported.
How are external payments, marked as paid in Payhawk, reconciled with bank feeds in Xero for bills?
When external payments are marked as paid in Payhawk, the payment status is reflected there. To reconcile these in Xero, users can export a payment file from Payhawk and upload it into Xero. This allows the transactions to appear in Xero and be matched against the corresponding bank feed entries, completing the reconciliation process.
