The Procurement AI Agent is an AI-powered assistant that helps employees create, manage, and track requests through a conversation, without switching between tools or relying on manual follow-ups.
By turning plain-language needs into structured requests, extracting details from quotes or links, and guiding users through each step of the intake process, the AI Agent makes it easier to raise compliant requests from the start. It also keeps employees informed with real-time updates on request status, approvals, comments, and required actions, so they can always see where a request stands and what happens next.
Beyond request intake, the AI Agent supports the wider procurement workflow by helping teams manage suppliers, link invoices, confirm goods received, and review request-related spend and commitments. Every action happens within your company’s existing procurement workflows, approval rules, and budget controls, keeping the process consistent, compliant, and auditable.

Common challenges in procurement management
Procurement teams often face difficulties when acquiring the goods and services necessary for business operations. The most common challenges that can disrupt procurement activities and impact business performance are:
Inaccurate data capture due to manual data entry, leading to errors and inefficiencies.
Inefficient manual processes for handling procurement tasks, slowing down operations.
Lack of control and visibility, resulting in unapproved or off-contract purchasing.
Budget limitations and overspending, straining finances and disrupting procurement activities.
The Payhawk Procurement AI Agent addresses these challenges by automating key procurement processes such as request tracking and approval workflows. This reduces manual work, improves data accuracy, and enhances visibility and control across the entire procurement cycle, empowering teams to operate more efficiently and make informed decisions.
