Best practices for role and permission-based queries via  the Payhawk MCP

The Payhawk MCP lets you ask your Payhawk account questions in plain language from your AI Assistant and act on the answers. It runs as you, with your own Payhawk permissions, so you only ever see and do what your role allows. Lookups come back right away while anything that changes data first previews and waits for your confirmation.

The prompts in this article are grouped by role and you can hand your team the set that fits them. You can start with the suggested wording, then adjust it to your own data. You do not need to phrase a prompt exactly: the assistant works out what you mean.

Good to know

The following list shows examples to help you understand how you can use the Payhawk MCP. These might differ  depending on your role permissions.

  • You see only the tools and playbooks your Payhawk role and permissions allow. Some playbooks are available to Payhawk Administrators only. Approval triage works your own queue and is available to every role.

  • If your account has an AI agent switched off, its prompts do not apply.

  • When an answer is not in your data or a verified help article, the AI Assistant will tell you so instead of returning a confident wrong answer.

  • Analytical answers come from Payhawk's reporting layer with a freshness note. For an exact "right now" fact, such as a balance or whether a payment settled, ask a direct question without any analysis or insights reference in it instead.

Every employee

The lookups triggered by the following prompts do not require account-wide permissions, meaning that everyone on the account can use them.

The lookups triggered by the following prompts do not require account-wide permission. They stay scoped to your own queue and the teams you are authorized for.

The following prompts look up across all company expenses, budgets, and balances, meaning they require those relevant permissions.

Treasury lookups, such as balances, fund accounts, deposits, statements, and movements, require the funds-visibility role permission. Without it, your AI Assistant will fully decline those lookups instead of showing a partial view.

Payhawk Administrators and IT Administrators

These roles have access to the full playbook library.

If you belong to several entities and do not name one, most replies will cover all of them, grouped per entity. Monetary totals are never blended across entities, and each conversation will stay pinned to one.
