Cause

This error occurs for one of two reasons:

  • The selected purchase journal in Exact Online is not configured to handle multiple currencies. When exporting expenses that involve foreign currencies, Exact Online requires the purchase journal to have the Variable: Currency option enabled.

  • The specific currency used in the Payhawk expense has not been added to your Exact Online Chart of Currencies. Without the currency being present in Exact Online, the system cannot process transactions in that currency.

Solution

You can resolve this issue in one of the following ways:

  • Enable Variable Currency on the Purchase Journal

    1. Log in to your Exact Online account.

    2. Navigate to Master Data > Journals.

    3. Locate and click on the purchase journal that is being used for your Payhawk exports.

    4. Go to the Currency section of the journal settings.

    5. Change the currency setting to Variable: Currency.

    6. Click Save.

    7. Return to Payhawk and attempt to export the expense again. The export must now be successful.

  • Verify and add the currency in Exact Online

    1. In Exact Online, navigate to Financial > Analysis & Results > Currency > Exchange Rates.

    2. Check if the currency used in the Payhawk expense appears in the list of available currencies. If the currency is not found, you will need to create it in Exact Online:

      1. Add the new currency to your Exact Online system following the standard currency setup process.

      2. Ensure exchange rates are properly configured for the new currency.

    3. Save your changes.

    4. Return to Payhawk and attempt to export the expense again. The export must now be successful.
