Cause

This error occurs when Payhawk attempts to update or modify a purchase entry in Exact Online that has already been processed and posted. When Payhawk initially exports expenses to Exact Online, they are created with an Open status.

However, if an Accountant or system user subsequently processes the entry and changes its status to Processed, the entry becomes locked. Once posted, Exact Online no longer allows modifications to that entry, and any attempt by Payhawk to update it will result in this error.

Solution

  • Ensure that purchase entries exported from Payhawk remain in Open status until all necessary updates have been made.

  • The posted entry in Exact Online cannot be modified or updated by Payhawk, and you need to manually adjust the posted entry in Exact Online or reverse and recreate it.

  • For future expenses, ensure that entries are not processed in Exact Online until after the Payhawk integration has completed all necessary updates.
