Cannot export expense into Xero because the service period is locked for this organisation.

Cause

The export of an expense to Xero failed because the service date of the expense is before the period lock date set in your Xero account. Xero's period lock functionality prevents new data from being added to a locked accounting period, ensuring the integrity of your financial records.

Solution

You can resolve this issue in one of the following ways:

  • Adjust the service date of the expense.

    1. Navigate to the expense in Payhawk.

    2. Edit the expense and change the service date to a date that falls after the locked period in Xero.

    3. Export the expense again.

  • Modify the period lock date in Xero.

    1. Log in to your Xero account.

    2. Go to your company’s financial settings and update the period lock date to include the date of the expense you are trying to export. Note that updating the period lock date is an action that affects your Xero account and not only the integration with Payhawk.

    3. Export again after a waiting period of around 15 minutes.

After changing the settings in Xero, you must wait approximately 15 minutes before attempting the export again. This is because the lock date is cached within Payhawk, and it takes time for the system to recognize the update. After the waiting period, you can re-initiate the export from Payhawk.
