Before moving on to the guide for connecting Payhawk and your specific HR system, you need to consider some specifics that are valid for all HRIS integrations in Payhawk.
On granting access to Payhawk
By connecting your HR system to Payhawk, you allow Payhawk to perform the following actions:
Access your HR data.
Sync employee data from your HR system.
Map companies from your HR system to your entities in Payhawk.
Map existing Payhawk users to employees in your HR system.
Specifics
You can connect to your HR system either on a group or individual entity level.
Connecting Payhawk to your HRIS will automatically invite all employees from all your entities to Payhawk, unless you customize the settings.
Disconnecting the HR system will prevent further automatic synchronization of employee data between the systems. Payhawk will keep the HR data that was last synced.
To connect your HR system to Payhawk, you need to set up the authorizations for accessing and reading data. The specific actions may vary depending on your HR system.
Setting up a proper connection
To establish a reliable connection, first decide whether you want to synchronize all employees or only a specific group from your HRIS system. Depending on your use case, the general approach is as described in the following sections. For the specific steps when connecting Payhawk and your HR system, refer to the Payhawk connection guides.
Syncing all employees
Obtain access from a user with Administrator permissions in both Payhawk and the HRIS system you intend to connect.
Locate your Client ID/Token or API key/Domain, depending on the HRIS system.
Grant Read access to the sections or attributes containing employee details such as Name, Email, Phone Number, and Company.
Enter the connection keys into the Payhawk setup wizard.
(Group level only) Map your companies to their corresponding Payhawk entities.
Complete the setup process.
Syncing a group of employees
Define a filtering criterion to include or exclude certain employees.
Create a Service User within your HRIS system.
Provide that Service User Read access to attributes or sections containing data about employee details such as Name, Email, Phone Number, and Company.
Restrict or grant access for the Service User based on your inclusion or exclusion criteria.
Obtain credentials from a Payhawk Admin User and the Service User created within your HRIS.
Locate your Client ID/Token or API key/Domain, depending on the HRIS system.
Enter the connection keys into the Payhawk setup wizard.
(Group level only) Map your companies to their corresponding Payhawk entities.
Finalize your setup.
