These Terms and Conditions ("Terms") govern participation in the Payhawk Webinar Reward Campaign (the “Campaign”) organized by Payhawk Limited. By registering for and attending the Campaign webinar, You agree to be bound by these Terms.

1. Definitions

1.1. Campaign means the Payhawk Webinar Reward Campaign governed by these Terms.
1.2. Customer means a legal entity, or an individual working within or for such a legal entity, that is an active user of Payhawk’s Product(s).
1.3. Prospect means a legal entity, or an individual working within or for such a legal entity, that is not currently a Customer but may be interested in purchasing Payhawk’s Product(s).
1.4. Participant or You means any eligible individual who registers for and attends the Campaign webinar on behalf of a Prospect or a Customer.
1.5. Payhawk means Payhawk Limited, having its registered office at Chancery House, 53-64 Chancery Lane, London WC2A 1QS, company No. 11747263, including all subsidiaries and affiliates.
1.6. Product means Payhawk’s software products and services, including but not limited to expense management, invoice processing, card issuing, and the AI Office of the CFO.
1.7. Prize or Reward means a free addition of the AI Office of the CFO module to a Participant’s Payhawk account, subject to the conditions described in Section 3.
1.8. Territory means the EU, EEA, the UK, and other countries where Payhawk operates and is legally allowed to run this Campaign.
1.9. Webinar means the online meeting hosted by Payhawk on the 2nd of October 2025.

2. Participation and Eligibility

2.1. To be eligible for the Reward, You must:
-Attend the live Webinar
-Provide a valid corporate email address upon registration

2.2. The Campaign is open to:
-Existing Payhawk Customers
-Prospective Customers who are not yet using Payhawk
-Members of the general public representing a legal entity (e.g., finance professionals, decision-makers, etc.)

2.3. There is no purchase necessary to enter or win. However, for Prospects to redeem the Prize, they must first become a Customer by purchasing a Payhawk core plan within 90 days of being notified as a winner.

3. Reward and Prize

3.1. A random Reward will be conducted after the conclusion of the Webinar. A total of three (3) winners will be selected from the pool of eligible Participants.
3.2. Each winner will qualify their company (Customer or Prospect) to receive free access to the AI Office of the CFO module, added to their existing or new Payhawk package at no additional cost for a period of 12 months (or for the period of the initial subscription plan of the Participant, whichever is longer).
3.3. If the winning Participant represents a company that is not yet a Customer, the company must sign up and purchase a Payhawk core plan within 90 days of being notified in order to redeem the Prize.
3.4. The Prize is non-transferable, non-refundable, and has no cash equivalent.
3.5. Payhawk reserves the right to substitute the Prize with another of equal or greater value if necessary.
3.6. Winners will be notified via email within 7 business days of the webinar. Failure to respond within 10 business days may result in forfeiture of the Prize.
3.7. The AI Office of the CFO is an AI-powered product and may include features that are in beta or subject to change. Access may be subject to additional onboarding, configuration, or integration requirements.

4. Personal Data and Privacy

4.1. By participating in the Campaign, You agree that Payhawk may collect and process your personal data for the purposes of administering the Campaign, contacting winners, and delivering relevant marketing communications (subject to your consent, where required).
4.2. The following personal data may be collected and processed:
-First and last name
-Corporate email address
-Company name
-Webinar attendance data

4.3. All data will be processed in accordance with Payhawk’s Privacy Policy.

5. Campaign Period

5.1. The Campaign will start with the Webinar and will continue until all Awards are granted or expired, as per the Terms.
5.2. Payhawk reserves the right to amend, suspend, or terminate the Campaign at any time without prior notice.

6. Miscellaneous

6.1. These Terms are governed by the laws of England and Wales.
6.2. These Terms are available in English only.
6.3. In the event of any conflict between these Terms and other Payhawk terms, these Terms shall prevail solely for the purposes of the Campaign.
6.4. Nothing in these Terms shall be construed to create a partnership, joint venture, or agency relationship between You and Payhawk.

7. AI Product Disclaimer

7.1. The AI Office of the CFO is a proprietary software module powered by artificial intelligence and machine learning technologies. It is designed to assist finance teams with insights, automation, and decision-making support, but is not a substitute for professional financial advice or human oversight.
7.2. As with all AI-based tools, the accuracy, relevance, and effectiveness of outputs may vary depending on data quality, usage context, and other factors. Payhawk makes no guarantees regarding specific business outcomes, financial performance, or operational improvements resulting from use of the AI Office of the CFO.
7.3. Features within the AI Office of the CFO may be subject to continuous development and improvement. Some functionality may be in beta, limited release, or dependent on third-party integrations or data availability.
7.4. Payhawk reserves the right to update, modify, limit, or discontinue the AI Office of the CFO at its sole discretion, with or without notice. In such cases, Payhawk will endeavor to provide a suitable alternative or communicate changes to affected users.
