From Spendesk to Payhawk: Chefclub speeds up its closing process by two days

Manual exports that slowed down the closing process

Chefclub is a leading provider of video content on social platforms and for brands in the food industry. For expense management, from supplier invoices to company cards for the chefs, the company used Spendesk. However, an active integration with NetSuite, Chefclub's ERP system, was missing. The team had to manually export invoices, wait, and review them. Missing documents required an additional processing run. These recurring steps consumed valuable time and delayed the monthly closing process.

At the same time, the chefs make purchases almost daily for filming in Paris. Other teams regularly procure equipment for brand collaborations. Card management therefore had to be both simple and reliable.

A seamless workflow and a smooth migration

Chefclub discovered Payhawk through a recommendation from Audaxis, an experienced NetSuite integration partner. This led to the first conversations in the summer of 2025. The introduction of Payhawk then took place in two stages: first invoice management, then company cards at the beginning of 2026. The native integration with NetSuite was set up independently, in just a few hours thanks to the provider's API keys.

Since then, invoices flow automatically and in real time into NetSuite. The approval processes actively involve the operational teams. The workflows are clearly structured and efficient. Around 90% of the data is read and processed correctly, without any manual rework.

The transition for the cards also went quickly and smoothly, from Friday to Monday. No training was required. Employees received their virtual cards and were immediately able to use the application intuitively.

A faster closing process and a relaxed team

With Payhawk, Chefclub has made its financial processes significantly more efficient, despite a lean finance team. The monthly closing is now completed by day +10. This is made possible by the continuous flow of invoices, allowing the team to gain around two days per month. Waiting times are eliminated entirely: as soon as the key suppliers have submitted their documents, the closing can begin immediately.

Payhawk support responds reliably: within seven days for further developments and within a few hours for urgent matters. The cashback on cards, which was not achievable with Spendesk, is now also active.

For the future, Chefclub plans to make even greater use of the advanced card control features and Payhawk's AI agents. The goal is to create additional time for analyses with real added value.
