Luxair becomes a fully cashless business
“The Payhawk app keeps us agile. Employees can request funds instantly, and we can approve them in seconds — giving us full control without slowing anyone down.”
Cash-based processes slowing operations
Before Payhawk, Luxair relied heavily on manual, cash-based processes across its operations. Employees paid for business expenses using personal funds, then submitted paper forms, receipts, and duplicated documentation for reimbursement.
Tour guides across 40 destinations managed over 80 cash registers, submitting monthly Excel reports with scanned receipts. Finance teams then manually entered this data into the accounting system — a time-consuming and error-prone process.
There was no central view of spend, limited control over budgets, and approvals depended on scanned signatures and email chains, slowing decision-making and reducing transparency.
“We had to manually process data from over 80 cash registers every month. It was extremely time-intensive and difficult to control.”
Digitised, card-first spend management
Luxair implemented Payhawk to eliminate cash and digitise all company spending. Corporate cards were rolled out across the organisation, allowing employees and tour guides to pay directly without using personal funds.
The mobile app enables employees to submit expenses instantly, while finance teams manage approvals through automated workflows instead of emails and paper forms. Card limits can be adjusted in real time, giving finance full control while enabling teams on the ground to act quickly.
With all transactions captured digitally and in one place, Luxair now has a complete, real-time view of spend across all destinations.

“As an administrator, I can adapt card limits instantly to suit business needs. Employees can request funds through the app, and we can approve them immediately.”
Faster processes and full spend control
With Payhawk, Luxair has fully transitioned to a cashless model. Manual cash registers and paper-based workflows have been eliminated, and approvals are now entirely digital.
Employees no longer pay out of pocket, improving their experience and removing reimbursement delays. At the same time, finance teams benefit from real-time visibility, stronger budget control, and automated reporting.
What was once a slow, fragmented process is now streamlined, transparent, and scalable — enabling Luxair to operate more efficiently across all destinations.

“I feel totally empowered — it’s a sign of trust from my employer. Having my own budget and an easy way to manage expenses has made a huge difference.”
